1. Acceptance of these terms

These Terms of Use (“Terms”) govern your access to and use of VetAccess (“the Service”), operated by VetAccess (“we”, “us”, “our”). By creating an account or otherwise using the Service, you agree to be bound by these Terms. If you are creating an account on behalf of a clinic or supplier company, you confirm that you have the authority to bind that organisation to these Terms.

2. Description of the Service

VetAccess is an online marketplace that allows Australian veterinary clinics to publish controlled appointment availability, and allows animal health supplier representatives to discover and book that availability for visits, lunch-and-learns, product updates and education sessions.

VetAccess does not provide veterinary, medical, or clinical advice, and does not store or process animal patient records. The Service is limited to scheduling and business-relationship functionality between clinics and suppliers.

3. Account types and eligibility

VetAccess offers two account types:

  • Clinic accounts — for veterinary practices in Australia. Clinic accounts are free of charge.
  • Supplier accounts — for animal health supplier companies and their representatives, managers and administrators. Supplier accounts require an active paid subscription per representative, as set out in Section 5.

You must be at least 18 years old and authorised to act on behalf of the clinic or company you represent to create an account. You agree to provide accurate information and to keep it up to date.

4. Clinic accounts

As a clinic, you control:

  • Which categories of suppliers may view and book your published availability.
  • Whether bookings require your approval or are automatically confirmed.
  • The minimum notice period required for bookings.

Clinic accounts are free and we do not charge clinics to use the Service. We reserve the right to introduce paid clinic features in the future, but any such features will always be optional and clearly communicated in advance.

Clinic contacts are represented on the platform by role (e.g. “Reception”, “Practice Manager”) rather than by individually naming treating veterinarians, in keeping with the Service’s scope described in Section 2.

5. Supplier accounts and subscriptions

Supplier access is billed on a per-representative subscription basis, at the plan and price displayed on our Pricing page at the time of subscription. Subscriptions are billed in advance on a recurring basis (monthly, unless otherwise stated) and are processed securely by Stripe.

By subscribing, you authorise us (via Stripe) to charge your nominated payment method automatically each billing period until you cancel. You can cancel at any time from your account’s billing settings; cancellation takes effect at the end of the current billing period, and access continues until then. We do not provide refunds for partial billing periods, except where required by Australian Consumer Law.

We may change subscription pricing with reasonable advance notice. Continued use of a paid plan after a price change takes effect constitutes acceptance of the new price.

6. Territory access and supplier conduct

Supplier representatives are assigned territories (by Australian state/territory) and may only view and book clinic availability within their assigned territory. Attempting to circumvent territory restrictions is a breach of these Terms.

Supplier representatives and companies agree to:

  • Attend confirmed appointments punctually, or cancel with as much notice as possible.
  • Use clinic contact information only for the purpose of the booked appointment.
  • Behave professionally and respectfully towards clinic staff at all times.
  • Not use the Service to send unsolicited marketing outside of the booking and education-request features provided.

We may suspend or terminate supplier accounts that breach this Supplier Code of Conduct, including repeated late cancellations or no-shows, which may also affect a clinic’s participation status and score within the platform.

7. Bookings and cancellations

Bookings made through VetAccess are subject to the availability, notice periods, and approval settings configured by each clinic. A booking is not guaranteed until it shows as “Confirmed” in the platform.

Either party may cancel a confirmed booking through the platform. Cancelled slots are released back into the marketplace and may become available to other suppliers, including via tiered early-access alerts for higher subscription levels.

VetAccess is a scheduling tool only — we are not a party to, and accept no responsibility for, the conduct of any appointment, visit, or commercial arrangement made between a clinic and a supplier.

8. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable law or regulation.
  • Attempt to gain unauthorised access to any part of the Service, other accounts, or our systems.
  • Upload or transmit any content that is false, misleading, defamatory, or infringes the rights of others.
  • Use automated tools (bots, scrapers) to access the Service without our prior written consent.
  • Interfere with or disrupt the integrity or performance of the Service.
  • Upload, store or transmit any animal patient or clinical health records — see Section 2.

9. Intellectual property

The Service, including its design, branding, software and content (excluding content you submit), is owned by VetAccess and protected by intellectual property laws. You retain ownership of the information you submit (such as your clinic or company profile details), but grant us a licence to use it as necessary to operate the Service as described in our Privacy Policy.

10. Disclaimers and limitation of liability

The Service is provided “as is” and “as available”. To the maximum extent permitted by law, we exclude all warranties, express or implied, regarding the Service’s availability, accuracy, or fitness for a particular purpose.

To the maximum extent permitted by law, VetAccess will not be liable for any indirect, incidental, or consequential loss arising from your use of the Service, including loss of business, revenue, or data. Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.

11. Suspension and termination

We may suspend or terminate your account if you breach these Terms, engage in conduct harmful to other users or the platform, or where required by law. You may close your account at any time by contacting us; supplier subscriptions will be cancelled in accordance with Section 5.

12. Changes to these terms

We may update these Terms from time to time. We will post the updated version on this page with a revised “last updated” date. Material changes will be communicated to active account holders by email where practicable. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

13. Governing law

These Terms are governed by the laws of Australia. Any disputes arising from these Terms or your use of the Service will be subject to the exclusive jurisdiction of the courts of Australia.
